Position Summary

Graphic Design Assistant & Project Manager needed for two creative executives in San Diego who work in branding, online business, social media, and the entrepreneur space.


We’re looking for a badass graphic designer who’s a creative UNICORN to help us with day-to-day tasks to operate the business, managing client projects, graphic design, and assist with personal tasks as well.

The right candidate will have experience with email platforms, creative writing, social media, minor photo editing, managing projects, admin tasks, WordPress, Adobe Photoshop & Illustrator, and Google Applications (Drive, Gmail, Calendar, Docs, Sheets, Slides).

This person also takes initiative, thinks outside of the box, has great written communication and organization skills, and refuses to miss a deadline.

NOTE: Your schedule must be FLEXIBLE. This is a part-time position that is both virtual and on-site. You have the luxury of working from home on some days and other days will require you to come into our downtown office.

*Must have a car and be willing to drive 30+ miles on occasions.

*Must have a computer/laptop and phone

Time Commitment: 4-5 days per week, 20 hours each week. Hours will increase over time (generally available 9am-4pm PST weekdays and flexible on weekends)

**Must be flexible with time, and open to last minute tasks.

Position will start beginning of November.

Roles and Responsibilities

  • Onboard and Manage client projects, and communicate with clients and team to ensure projects stay on timeline
  • Design graphics for the company and client projects such as logos, thumbnails, infographics, flyers, etc
  • Monitor and organize executive’s email inbox
  • Assist with gifting clients and building relationships
  • Schedule meetings with prospects and clients
  • Create proposals for prospects, and contracts/agreements for new clients
  • Write out processes for repeat tasks
  • Create order forms/invoices and products within Infusionsoft (CRM) software, and reach out to customers with payment balances to ensure payment goes through
  • Organize folders and documents
  • Assist with planning events
  • Schedule and budget management tasks like booking appointments (personal and business), travel (sourcing multiple flight options), keeping track of budgets, running errands (both business and personal)
  • Provide any research as needed (keyword research, fb groups and forums, and internal projects)
  • Create blog posts and social media content
  • Assist with customer service support (i.e – responding to support emails, engage with attendees on webinars, etc.)
  • Social media tasks like Snapchat, instagram, Twitter, Facebook, YouTube, Pinterest and WordPress blog (prior experience in all of the above is a pro), photography skills (using iPhone and DSLR) basic photo editing skills like Photoshop and phone photo apps like VSCO (Adobe photoshop and illustrator experience is a pro)
  • Create Powerpoints
  • Assisting on video and photo shoot sets (previous on set experience is a pro) Help with the creation of online digital products and courses (i.e – research, creating worksheets, support)
  • Personal assistant type tasks like running personal errands (grocery, drugstore, etc.), walk dogs, helping organize and keep tidy (Office)

Education/Experience Requirements

  • 0-2 years experience in supporting an organization or leadership team.
  • 1+ years graphic design (Photoshop + Illustrator)
  • 1+ years creating social media content

Skill Requirements

The Graphic Design Personal Assistant & Project Manager position requires the following skills:

  • Organization – Demonstrates strong organization skills that will help move both you and the company forward.
  • Graphic Design – Creative skills and eye for designing graphics in Photoshop & Illustrator.
  • Time Management – Must know how to use time effectively to ensure productivity.
  • Social Media Marketing – Proven experience using social media (Facebook, Instagram, YouTube) to distribute content.
  • Verbal Communication – Can clearly communicate tasks and project status, updates, and/or issues.
  • Written – Has superb creative writing skills using excellent grammar and can clearly communicate all necessary tasks.
  • Attention to Detail – Has a keen eye for detail, pays close attention and looks for errors before submitting work.
  • Customer Service – Demonstrates empathy with clients, and goes over and beyond to create a WOW experience.
  • Must know how to use Google Drive (docs, slides, & spreadsheets), Dropbox, WordPress, Photoshop, Photo editing apps or software.

The Pay

Part-Time; $15/hr. Expect about 20 hours per week. Hours will increase over time. Possibility of full-time employment.
